Practical AI workflow partner

Make work flow better — with AI where it genuinely helps.

You do not need a catalogue of AI tools. You need to understand what is consuming time, creating mistakes or distracting your team from valuable work. I help small businesses find that friction, design a practical improvement and put it into use.

Human judgement stays in charge. AI handles repetitive work where it can add genuine value.

A focused conversation about your business problem — not a generic AI sales pitch.

Where the friction usually lives

More AI tools do not automatically create better work.

  • Time

Repetitive administration, copying information, manual follow-up and work that consumes hours every week.

  • Customers

Slow responses, inconsistent handovers and useful information getting lost between conversations.

  • Operations

Processes living in somebody's head, repeated errors and work becoming harder as the business grows.

  • Focus

Too many priorities, constant context-switching and valuable work being crowded out by urgent noise.

We start with the friction. AI is only part of the answer when it makes the workflow simpler, safer or faster.

Looking at the whole system

A simple 4P lens to understand the work before recommending a solution.

This prevents us from automating a poor process or solving the wrong problem.

  • Projects

What outcomes or pieces of work need to move?

  • People

Who performs the work, receives the result or needs to trust the process?

  • Process

Where are the repeated steps, delays, handovers and avoidable errors?

  • Personal

Where are focus, confidence, energy or individual working preferences affecting the outcome?

Example workflows

Small improvements that create useful breathing room.

  1. 01

    Enquiry triage

Organise incoming enquiries, identify key information and prepare a first response for human review.

  2. 02

    Meeting follow-through

Turn notes or transcripts into actions, owners, deadlines and draft follow-up messages.

  3. 03

    Document workflows

Extract structured information from forms, invoices, PDFs or emails and move it to the right place.

  4. 04

    Knowledge support

Make trusted procedures easier for a team to find and use.

  5. 05

    Customer communications

Prepare clear drafts while keeping approval and sensitive decisions with a person.

  6. 06

    Focus and planning

Turn a noisy list of commitments into a realistic view using Projects, People, Process and Personal.

Every workflow is assessed for data sensitivity, failure risk and where human review must remain.

The engagement

From recurring frustration to working improvement.

  1. 01

    Listen

Understand the business problem and outcome that would matter.

  2. 02

    Map

Document the workflow, people, information, bottlenecks and risks.

  3. 03

    Demonstrate

Create a small example or prototype before a larger commitment.

  4. 04

    Implement

Build and test the workflow, document it and help the team use it.

  5. 05

    Support

Provide optional monitoring, maintenance, improvements and regular reviews.

The aim is not permanent dependency. You should understand what has been built, its limits and what to do if it fails.

How we work together

Start small. Prove value. Expand only when it makes sense.

Discovery conversation

A focused initial call to understand one recurring problem and determine whether there is a useful opportunity.

Workflow sprint

A clearly scoped project to map, prototype and implement one useful workflow. Fixed proposal following discovery.

Ongoing support

Optional monthly support covering monitoring, maintenance, small improvements, provider changes and team questions.

Cost depends on complexity, integrations, data sensitivity and support requirements. Any third-party subscription costs are identified separately. If the opportunity is not strong enough to justify the work, I will say so.

How I work with AI

Human-first AI, without the theatre.

Judgement stays human

AI drafts and suggests. People decide, approve and remain accountable.

Transparency matters

You should understand what has been built, its limits and what to do if it fails.

Sensitive data deserves care

Customer, financial and personal information does not enter unapproved services.

Useful beats impressive

A small workflow that saves an hour a week beats a demo that never gets used.

No theatre. No shame. No unnecessary dependency.

Why Jon

Workflow thinking grounded in real delivery.

For more than 15 years, I have worked in delivery, coaching and organisational change — helping people understand complicated work, make priorities visible and improve how work moves through a system.

That experience matters with AI. The difficult part is rarely producing an impressive output. It is choosing the right problem, designing a workflow people can trust and making the change stick.

FAQ

Common questions

Do I need to know which AI tool I want?

No. We start with the business problem. The right tool — if any — is chosen once we understand the work.

Is this an AI training course?

No. This is practical work on your business. Any training happens around the workflow we build together, so your team can use and maintain it.

Will AI replace members of my team?

The aim is to remove repetitive, low-value work so people can spend more time on judgement, relationships and decisions. AI is a tool, not a replacement.

Can you work with software we already use?

Usually yes. Where possible we integrate with what you already pay for — email, spreadsheets, CRM, document storage — rather than adding another subscription.

What happens to our data?

Sensitive customer, financial or personal information must not enter an unapproved AI service. We agree what can be shared, with which provider, before anything is built.

What does ongoing support include?

Monitoring, small improvements, provider or model changes, team questions and periodic reviews. It is optional and can be paused at any time.

How much does it cost?

Cost depends on the complexity of the workflow, integrations required, data sensitivity and the level of support you need. Any third-party subscription costs are identified separately. A written proposal follows discovery.

What if AI is not the right answer?

Then I'll say so. Sometimes a clearer process, a checklist or a small piece of software is a better fit — and cheaper to maintain.

Start a conversation

What is slowing your business down?

Tell me about one task or process that consumes time, causes repeated frustration or regularly gets delayed. I will review it and respond personally within two working days.

What happens next

  1. I read every message personally.
  2. I'll reply by email or arrange a call, based on your preference.
  3. If there's a useful opportunity, we plan a short discovery.
  4. If AI is not the right answer, I'll say so.
